Provide administrative support to clinical services..

To answer telephone and/ or email enquiries, processing and maintaining records (paper and electronic) using SystmOne, updating databases and spreadsheets, scanning, typing, photocopying, and arranging meetings/ events.

The creation of appointments for clients and liaising with a range of service users/ carers, partners, colleagues and visitors.

To act as a first point of contact for all forms of communication for the clinical staff and carers hence supporting the delivery of a high quality service.

The children’s Dietetic Service is a specialist service supporting all children aged 0-19 (up to 25 years with SEND) living in Wirral who have complex feeding difficulties. Our aim is to ensure that all children and young people meet their nutritional requirements to facilitate optimal growth and development.

Children are seen in a variety of settings including clinics, schools, care settings and their own homes.

The children’s Speech and Language Therapy Service is a specialist service supporting children and young people. The service recognises and builds upon strengths and focuses upon improving outcomes captured directly through the voice of the child or parent.

The service will be provided to children and young people in Wirral from birth until aged 19 with speech, language, communication, feeding and swallowing needs, and up to 25 years with identified SEND needs.

The service is delivered in the most appropriate setting for the child, depending on age and need. This may be in a community clinic, school, hospital or at home.

  • Act as first point of contact to deal effectively with a wide range of enquiries. Perform call handling responsibilities on behalf of the services
  • To receive and co-ordinate telephone calls from a variety of sources answering queries from staff, clients and others
  • To take forward messages as appropriate
  • Manage generic email address boxes
  • Signpost service emails following service guidelines
  • Provide support with all office administration for the services e.g. scanning, photocopying, laminating, using clinical IT systems
  • To plan and prioritise own workload effectively and efficiently using time management skills
  • Assist with client care pathways e.g. contacting clients/ staff and gathering further information
  • Sending out information and equipment on request, making notes in case files and information systems when items are sent out
  • Responsible for safe use of office equipment
  • Setting up and maintaining all templates, etc. for letters/ data capture
  • Maintain shared drive in an organised and accessible fashion
  • Produce/ order service user literature, booklets and maintain stock levels under supervision
  • Compile training packs/ information packs for talks, training, meetings
  • Collation of data from information systems in readiness for analysis
  • Support/ attend clinics/ sessions, rearranging appointments when necessary, capturing appointment details onto data capture system and gather appropriate documentation
  • Booking home visit appointments with clients over the telephone and capturing appointment details onto data systems
  • Maintain accurate information on databases and systems including excel and access any other clinical system working within standard data entry procedures
  • Maintain service user privacy and confidentiality in line with Wirral Community Health and Care NHS Foundation Trust policies
  • Liaise with associated agencies or external organisations as necessary, clinical and non-clinical e.g. transport, interpreters, GPs, escalating when appropriate
  • Utilising clinical IT systems to enter confidential patient data using computerised information systems in line with Trust policies and procedures ensuring that information reported is accurate, timely and to the required standard
  • Scanning documents and attaching to service user notes
  • Attend staff meetings and take minutes if requested
  • Monitor and order stock to agreed levels
  • Providing flexible administrative and clerical cover as required meeting the needs of the service. This might occasionally involve working at another base during cross cover arrangements
  • Adhere to Trust policies and procedures on transference of data e.g. service email accounts to ensure that files and electronic records are stored appropriately in accordance with the Trust’s Management Policy
  • Participate in the future development of the service
  • Adhere to and/ or take part in the departments non-clinical review tools and audits
  • To participate in personal objective setting and review, including creation of a personal development plan
  • Attend all mandatory training required by the Wirral Community Health and Care NHS Foundation Trust and any compulsory in-house training
  • Unlock smart cards
